Policies & Procedures

I. Access

Storage space on the Isilon server can be purchased in 1 TB segments for scratch space, 500gb and 1 TB segments for data space and 20gb segments for home space. You can access your storage areas by logging into login.c2b2.columbia.edu using SSH. This will connect you to one of the pool of login nodes where all storage areas are available. The login nodes are available whether or not you are on the Columbia network.

To access files directly from your desktop you need to be on the Columbia University Medical Campus network (this can also be done from an offsite location while in a VPN session).

To mount your home directory in windows you need to go to My Computer -> Tools -> Map Network Drive.

You can map:

  • \\isilon.c2b2.columbia.edu\PI-initials_lab\username (home area)
  • \\isilon.c2b2.columbia.edu\PI-initials_lab_data\username (data area)
  • \\isilon.c2b2.columbia.edu\PI-initials_lab_scratch\username (scratch area)
  • \\isilon.c2b2.columbia.edu\ShareName(Any other share)

If your computer is not on the ARCS Active Directory domain you need to map it using a different username (ARCS\username).

For ICG users please login with ICG\login name and password.

To mount your home directory on a mac, open Finder and select Go -> Connect to server

On a mac you map with:

  • smb://isilon.c2b2.columbia.edu/PI-initials_lab/username
  • smb://isilon.c2b2.columbia.edu/PI-initials_lab_data/username
  • smb://isilon.c2b2.columbia.edu/PI-initials_lab_scratch/username
  • smb://isilon.c2b2.columbia.edu/ShareName(Any other share)

Example for ICG users - smb://isilon.c2b2.columbia.edu/ifs/home/cancer/Lab_RP

Example for C2B2 users - smb://isilon.c2b2.columbia.edu/bh_lab/oa2134 - map your home directory

To mount your home directory on a linux workstation, please submit a service request.

For Qumulo storage mounting procedure is similar to Isilon. You do need to know your share name.

To mount qumulo share in windows you need to go to My Computer -> Tools -> Map Network Drive.

  • \\qumulo.c2b2.columbia.edu\share_name

If your computer is not on the ARCS Active Directory domain you need to map it using a different username (ARCS\username).

To mount your qumulo share on a mac, open Finder and select Go -> Connect to server

  • smb://qumulo.c2b2.columbia.edu/share_name

II. Best Practices

Please go to the following link for detailed information http://wiki.c2b2.columbia.edu/systems/index.php/Documentation/Storage_architecture

Drop Box ARCS does not recommend the use of drop box for any sensitive data especially HIPAA and PHI data. Users may use Drop Box At their own risk with the understanding that the data stored in Drop Box can be viewed by anyone in the Drop Box cloud. Please read the Drop Box privacy terms link: https://www.dropbox.com/terms#privacy

  • C2B2 storage is intended for work related activities only. Any unrelated or personal usage of the system will not be tolerated.
  • The Isilon storage system is not certified to meet HIPAA or PHI requirements for data storage systems. Identified patient data should never be stored on this system!
  • HIPAA and PHI Users that store identifiable HIPAA and/or PHI data on their local system and/or any external storage device are required to inform ARCS immediately. ARCS will be required to inform Columbia security to audit the system, and investigate the usage of data. Columbia Security will provide the necessary security configuration requirements so all devices adhere to all HIPAA and PHI regulations. ARCS will not be liable for any lab/user failing to report the possession of Identifiable HIPAA and PHI data.
  • All restrictions established on this system must be adhered to, including but not limited to: quotas, network access restrictions, mounting restrictions, file/directory security restrictions, user account restrictions. Any attempt to circumvent these restrictions will be met with immediate action.
  • User accounts and credentials should never be shared in order to share data. Please contact C2B2 support if you need assistance sharing your data.
  • Users' home directories must not be readable by any user other than the owner of the folder. This will allow other users to traverse your directory, but not read it's contents.
  • This is a shared use system. Everyone must be respectful of other users and their right to use the system. Any attempt to "hog" resources or prevent other users from fair use of the system will not be tolerated.

IV. Violations

Any failure to adhere to these policies is a violation of C2B2 use guidelines and will result in the suspension of your account. In some cases, deletion of data and/or legal action may be required.
